Printing from Quickbooks Hosting

**Notice to Quickbooks customers**

ASAP has been making improvements to our infrastructure, including a new set of servers in our cluster and an updated printing engine which will eliminate issues with the configuration and initial setup of printers. This third party print engine , available in the new environment for QB2005/QB2006 customers, requires a special driver file, which can be downloaded from this link.

After downloading the file to your system, run the file and then connect to the hosted environment. You will see all of your printers become available for local printing.

Quickbooks, or any accounting appliction, would be almost useless without being able to print documents such as invoices or statements from the application. The ASAP Quickbooks service, therefore, offers a mechanism for printing from within the ASAP Quickbooks environment back to a printer connected to your workstation at your office.

Printing from Remote Desktop, however, can be unpredictable. Because of the huge variety of printer makes and models which are available, ASAP cannot possibly support every printer ever made. When you sign up for hosting with the ASAP Quickbooks service, you will be asked what printers are in use at your facility. ASAP will do their best to connect one printer per user account, following these guidelines:

  1. The ASAP Quickbooks service will be able to accommodate any printer that is supported directly with a printer driver from Microsoft, and which was included with Windows XP.
  2. If a driver is not provided by Microsoft, then ASAP will endeavor to obtain a printer driver from the manufacturer. This is a common solution, but on some occasions this driver is not compatible with the ASAP Quickbooks environment.
  3. If there is a printer driver which is compatible with your printer (for example, the HP Laserjet 4 Plus is compatible with most laser printers), ASAP will attempt to "map" a translation from your printer model to the compatible model.

The ASAP team has found that many printers, such as those which are connected over a USB cable will not initially work with the Remote Desktop environment. This is due to a built-in restriction, and can be resolved by downloading this registry file and running it on your workstation, which makes a minor change to the registry to allow your workstation to identify the USB-attached printer to the ASAP Quickbooks environment.

ASAP has compiled a list of printers which have already been successfully installed into the ASAP Quickbooks environment. Click on this link to review the list to see if your printer has already been installed.

If the above process is not successful, it is very possible that the ASAP Quickbooks environment will not work with your printer model. If this is the case, don't give up! There are still several possible solutions:

  1. ASAP has tested a java-based Remote Desktop client which contains a "Universal Printer Driver". This software will allow you to print to any printer which you have successfully installed on your own system. You would be responsible for a one-time setup fee, and this software would be available to you at any time, from any system.
  2. You might want to consider purchasing a new printer, especially if you are struggling with a "free" printer provided by your hardware manufacturer. ASAP has found that many of the entry-level models are not compatible with the ASAP Quickbooks hosting environment.
